Procedure:  Resetting a billing file:  HCFA or Electronic
 

Steps:

  1. Click on Activities Insurance Billing and  Maintenance

  2. This will bring up a list of all created billing files and show information about each.

  3. Each billing file’s File Name is related to the date it was created.  For example, if the file was the first one created on 4/22/03, the File Name will be 03042201    where:

    1. The first 2 digits indicate year

    2. The next 2 digits indicate month

    3. The next 2 digits indicate day

    4. The last 2 digits indicate the order in which the file was created that day

  4. Scroll through the list of billing files until you find the one you’re seeking.

  5. If there are multiple files for the day and you’re not sure which is the one you need, click on one of the files, then click the Details button.

    1. A window will pop up showing details of the claims in that file.

    2. Scroll through the details to see if this is the file that needs to be unbilled.

    3. Close the window.

    4. If that is not the file needing to be re-billed, repeat steps 6 and 7 until you find the correct file.

  6. Once you have the correct file, click the box in front of the File Name to put a check in it.

  7. Click Reset.

  8. Click Save.

  9. It will prompt you to ‘Process Changes?’   Click Yes

  10. That file should no longer appear in the file list.

  11. Click Exit.

  12. You can check to see if the transactions you meant to Reset are now unbilled by going into the Transaction card for one of the patients from that file. The transactions will have turned from blue to black again and there will be no Date Billed listed.


Procedure:  Resetting individual patient transactions from a billing file   Electronic)


Steps:

  1. Click Activities, Insurance Billing, Maintenance

  6. Once you have the correct file, scroll through the transactions listed to find the ones you want to Reset.

  7. For each transaction to be Reset, click the transaction and click Reset.

    Note: If there is more than one transaction for that patient for that date of service, all the transactions for that patient for that date will be Reset.

     

  8. Once you’ve selected to Reset each transaction you wish to, click Exit

  9. On the next screen, click Save

  10. It will prompt you to ‘Process Changes?’   Click Yes

  11. Click Exit.

  12. You can check to see if the transactions you meant to Reset are now unbilled by going into the Transaction card for one of the patients from that file. The transactions will have turned from blue to black again and there will be no Date Billed listed.
